Personal Information Protection Policy

Link and Motivation Inc. (“LMI”) provides support for corporate transformation (realizing a competitive advantage) by using its original technique called “Motivation Engineering” (diagnostic and transformation technologies) to measure the motivation level of a company’s employees, applicants and customers, identify issues concealed within the organization, and then to bring out the “seriousness” of each individual using transformation technologies (edutainment programs, etc.).

Recipients of Motivation Engineering are not limited to business organizations. In line with this stance, LMI is currently expanding its diagnostic and transformation technologies in various domains. Based on its “i-Company” approach, LMI provides educational support to transform the awareness and raise the skills of individuals, including students and working people. LMI also works in areas including support for the vitalization of non-business organizations such as universities and sports teams.

In conducting these services, safe management of information resources, including personal information, is a key issue for LMI. To practice safe management without fail, the officers and employees of LMI strive to handle personal information appropriately, pursuant to the following personal information protection policy.

  1. LMI will comply with Japanese laws, guidelines set forth by the government and other rules concerning the handling of personal information when handling personal information used in all of its businesses (including personal information subject to disclosure) and personal information of its employees or others. In addition, LMI will establish a management system to protect personal information that is compliant with “Personal information protection management systems—Requirements” of the Japanese Industrial Standards (JIS Q15001).
  2. When acquiring and using personal information, LMI will specify the purpose of its use to handle the information appropriately within the scope required to achieve such purpose, and will not handle information beyond the scope required to achieve the specified purpose of use (use other than for intended purposes). LMI will also adopt appropriate management measures to prevent use other than for intended purposes.
  3. LMI will acquire personal information through lawful and fair methods.
  4. LMI will not provide any personal information it has acquired to a third party unless it has obtained the consent of the individual concerned or it is legally obligated to do so.
  5. LMI will ensure that whenever personal information is obtained, used or provided, the individual who has provided the information is appropriately involved. Furthermore, when complaints or consultations regarding the handling of personal information are received, LMI will promptly confirm their content with the relevant parties or others and will respond in good faith within a reasonable amount of time.
  6. LMI will take organizational, human, physical and technological measures to securely manage personal information, and will work diligently to prevent and counteract any leakage, loss or damage of such information.
  7. LMI will establish a management system to protect personal information and conduct ongoing revisions to ensure its operation.

Handling of Personal Information

1. Intended Purposes for Using Personal Information

LMI uses personal information within the scope required to achieve the tasks and intended purposes listed below.

(1) Tasks

  1. Tasks related to business administration
  2. Tasks related to recruiting, training, etc. for business organizations and groups
  3. Tasks related to sports organizations
  4. Tasks related to educational institutions
  5. Tasks related to supporting the creation of “places”
  6. Tasks related to corporate membership organizations
  7. Tasks related to individual career support

(2) Intended Purposes

  1. For appropriate and smooth execution of personal information processing that has been fully or partially commissioned to LMI by third parties
  2. For support of recruiting and employment activities
  3. For paid employment introduction business
  4. For conducting surveys related to LMI-run seminars, lectures and other events
  5. For selection of LMI employee candidates
  6. For employment management of employees
  7. For clerical work related to Individual Numbers*
  • Clerical work related to Individual Numbers refers to the clerical work of obtaining Individual Numbers from LMI’s employees, shareholders, external employees and others to include such Individual Numbers in required documents such as earned income tax withholding certificates, wage statements, and notices of acquisition of qualification for health insurance and pension insurance for submission to the director of the taxation office, city, town or village mayor, the Japan Pension Service or other party pursuant to the “Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures.”

2. Procedures for Disclosure, Amendment, Etc.

LMI accepts requests from individuals to disclose their personal information subject to disclosure, inform them of its intended purpose, amend incorrect personal information subject to disclosure, discontinue use of such personal information and discontinue providing such information to third parties (hereafter, “Disclosure, etc.”).

(2) Items to Be Submitted

  1. Notification of intended purposes of personal information/disclosure request form
  2. Request for amendment, etc. of personal information
  3. Request for discontinuance of use of personal information
  4. Personal identification materials (driver’s license, passport, etc.)
  5. Legal representatives must submit a document confirming their legal representation authority in addition to item 4 above.
    Authorized agents must submit the relevant power of attorney and certificate of their seal impression in addition to item 4 above.

Note: Please redact sensitive information on documents to be submitted such as your legal domicile before submitting them. Documents not so redacted when received by LMI will not be redacted by LMI.

(3) Handling Fees

LMI does not charge handling fees for requests for disclosure or notification of intended purposes of personal information.
